Our Client is a reputable law firm with a strong presence in the South Lakes, Lancaster and Morecambe Bay areas, offering expert services across various practice areas. They are known for providing tailored legal solutions to our clients and are currently seeking a skilled and detail-oriented legal assistant specialising in private client law to join our dedicated team.

Job Summary or Overview

The Admin Assistant will provide crucial administrative support to our legal team, with a particular focus on accounts management, client record-keeping, and assisting with legal documentation and correspondence. The ideal candidate will have experience in both administrative roles and legal/accounting environments, a strong attention to detail, and excellent organizational skills.

Key Responsibilities

Administrative Support:

  • Provide general administrative support to solicitors, including handling phone calls, managing calendars, scheduling appointments, and organizing meetings.
  • Prepare and organize client files, both digital and paper-based, ensuring all documents are kept up to date and easily accessible.
  • Draft, proofread, and manage legal correspondence, letters, and other legal documents.
  • Assist with filing and maintaining accurate records in line with GDPR and legal requirements.

Accounts and Billing:

  • Assist with the preparation and processing of client invoices and billing statements.
  • Track and record financial transactions related to legal matters.
  • Ensure compliance with internal financial procedures, including managing petty cash, bank reconciliations, and processing payments.
  • Provide regular reports on outstanding client payments and liaise with clients regarding overdue balances.
  • Support the financial team with preparation of month-end accounts and year-end reports.

Client Interaction:

  • Liaise with clients to provide updates, handle inquiries, and gather necessary documentation.
  • Maintain a high standard of customer service, ensuring clients feel supported and informed throughout the legal process.

Legal Knowledge and Support:

  • Assist with the preparation and filing of legal documents and submissions.
  • Maintain knowledge of relevant legal terminology, systems, and processes.
  • Work closely with solicitors to support case management and ensure all deadlines are met.

Required Qualifications/Skills

  • Proven experience in an administrative role, ideally within a legal or professional services environment.
  • Previous experience working in a legal or law firm environment.
  • Strong background in accounts or finance, with experience in managing invoices, payments, and financial records.
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal management software (experience with [Insert Software Name, if applicable]).
  • Strong communication skills, both written and verbal, with an eye for detail.
  • Familiarity with legal terminology and procedures is advantageous.
  • Knowledge of GDPR and confidentiality requirements.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A proactive attitude with the ability to take initiative.
