We are seeking a proactive and organised Administrative Assistant to join our team on-site in Barrow-in-Furness. You will support the Senior Project Administration and Security Advisory Team in a varied, fast-paced role that requires strong Microsoft skills, attention to detail, and a professional, welcoming manner. As the first point of contact for senior staff and visitors, excellent communication skills are essential.
Book travel arrangements including flights, hire vehicles, and hotels
Source training courses and complete associated documentation
Ensure all new operatives complete security clearance forms for site access
Confirm all personnel complete the Denholm PowerPlus Safety Induction before site entry
Maintain company training database and retain training records in line with legal requirements
Answer telephone calls and liaise with customers, suppliers, and colleagues
Organise meetings, booking rooms, equipment, and refreshments
Manage incoming and outgoing mail and maintain accurate logs
Raise and receive purchase orders through the finance system, ensuring correct approvals
Monitor and record staff holidays
Raise company sales invoices
Maintain HAV information, WARA cards, Start of Shift and Machine Record Check Sheets, and provide data for monthly HSE reports
Upload Toolbox Talks into project folders and maintain related records
File RAMs and other contract-related paperwork
Manage onboarding for new starters, including verifying induction passports, training certificates, and compliance documents
Maintain and submit signed-off timesheets to payroll, including holidays and sickness
Upload materials stock data and assist with commercial input for Finance
Carry out general administrative and ad-hoc duties as required
Proven administrative experience in a busy environment
Proficient in Microsoft Excel and Microsoft 365 (Word, Outlook, Teams, SharePoint)
Excellent organisational and time management skills
Friendly, professional, and approachable
Strong written and verbal communication skills
Ability to work under pressure and meet deadlines
Able to achieve full SC clearance
Local to Barrow-in-Furness or able to commute daily
